Clear next actions · Based in Milan, remote-first

Make promised callbacks easier to keep track of.

A callback can disappear into a busy day when there is no clear place to track it. I help plumbers and home-service businesses shape reminders around the tools and habits they already rely on. Based in Milan, I work remotely with clients across the UK, US, Canada, Australia, and beyond.

Working remotely with UK home-service businesses and elsewhere. I’m based in Milan, Italy; no UK office or local in-person coverage is claimed.

In brief

Callback reminders for home-service businesses

A callback reminder workflow records an agreed follow-up action, its owner, and when it should be reviewed. It can help make pending enquiries more visible; it does not guarantee a callback or reserve an appointment by itself.

The opportunity

A reminder only helps when someone can own the next step.

Unassigned tasks, unclear dates, or reminders in a tool nobody checks can create more noise. The first step is to agree what needs follow-up, who owns it, and what should happen when a task is overdue.

01 / WORKFLOW

Define the follow-up trigger

Examples might include an unanswered call, a requested callback, or a quote that needs a human follow-up.

02 / WORKFLOW

Assign an owner and timing

Choose where tasks live, who reviews them, and what counts as completed or no longer needed.

03 / WORKFLOW

Test reminders and exceptions

Check time zones, duplicate tasks, rescheduling, and what happens if a reminder fails or is ignored.

Scope and handoff

Designed around the tools and rules you actually use.

Before anything is built, we’ll map the current process, choose one useful improvement, agree the scope, then build and test it against realistic examples.

  • Which events create a reminder and which should not?
  • Which existing task or calendar tool will be the source of truth?
  • Who owns overdue, rescheduled, or cancelled follow-up?
  • Calendar availability or an event is not a confirmed customer booking; the business confirms attendance.

Connections, message channels, consent wording, data handling, and local requirements depend on the business and its providers. They’re checked during scoping; the pages here describe possible work, not a ready-made or production system.

Common questions

Before we start

Does a calendar event confirm a customer booking?

No. An event can record a requested or internal slot. A person still needs to confirm job scope, price, travel, and attendance with the customer.

Can reminders send customer messages?

The reminder service described here does not imply customer SMS or WhatsApp messages. Any customer messaging would be a separate, explicitly scoped integration.

Can this work with my calendar?

It may be possible after checking the calendar, account access, and required booking rules. The existing plumber prototype tested a dedicated demo calendar only; it does not establish a production connection.
